Steps from trial stay to contract
A step-by-step guide to guide you through the process from test stay to preview to contract to handover without hesitation.
Purpose of this step
The entire process from test nights to signing a contract is a point where decision-making can come to a halt if information is omitted. Here, we have organized everything from the first test night reservation to delivery, and summarized the order of actions and how to keep records.
It is important to link the information obtained during the test stay to the contract and procedures so that you do not end up just seeing it.
Overall flow
- Trial night reservation (organizing candidate dates and confirmation items)
- Trial night implementation (record of daily activities and renovation points)
- Contract conclusion (agreement on conditions, costs, and delivery time)
- Handover (final confirmation of keys, equipment, and documents)
Step 1: Book a trial night
When making a reservation for a trial stay, the most important thing is to organize your purpose. Make a list of the things you want to check (equipment, noise, daily activities) and share it with suggested dates and times.
We will present 2-3 options for schedule adjustment, and record what we agreed upon via message.
Step 2: Trial night
During the test stay, you will record your stay with a set of three items: photos, notes, and a checklist. Prioritize photography of items that are difficult to judge later, such as plumbing and insulation.
The rhythm of daily life is also observed, such as the quietness at night, the movement of people in the morning, and the atmosphere when taking out the trash.
Step 3: Signing the contract
We will organize the information obtained from the test stay and proceed to adjust the conditions. We will clarify the scope of renovations, delivery schedule, and cost breakdown in writing, and reflect the agreed details in the contract.
It is important to double check that there are no missing required documents and to ask any questions you may have on the spot.
Step 4: Handover
On the day of handover, we will confirm keys and equipment, contact information for lifelines, and reconfirm local rules. It is a good idea to organize the initial tasks after handover using a checklist.
checklist
- Organize the purpose of the test stay and check items
- Decide where to shoot on-site
- Note the priority of renovations
- Leave the agreed terms of the contract in writing.
- Prepare items to confirm at the time of handover
